1. Who we are

Setapp is a hospitality management platform operated by Setapp, based in Baku, Azerbaijan, providing services to hotels, aparthotels, short-term-rental operators and resorts since 2019. References to "we", "us" or "Setapp" in this policy mean the company.

2. What data we collect

We process two distinct categories of personal data.

2.1 Visitor data (this setapp)

When you submit a demo request, contact form or inquiry on setapp.az, we collect:

Your name and email address
Your phone number and company name (if provided)
Information about your business — property type, room count
The content of your message
Standard server logs (IP address, browser type, pages visited)

2.2 Customer operational data (the platform)

When a property uses Setapp as its management system, the platform processes the operational data the property enters or generates:

Reservations, guest profiles, stay history
Restaurant orders, spa appointments, housekeeping records
Financial transactions — cashbox, bank, credit accounts
Staff records and activity logs
Reports and analytics derived from the above

For customer operational data, the property is the data controller and Setapp acts as the data processor on the property's behalf.

3. Why we collect it

We use your data to:

Provide and improve the Setapp service
Respond to your questions, demo requests and support inquiries
Send service-related communications (incidents, releases, billing)
Comply with legal, accounting and fiscal obligations
Investigate misuse or breaches of our Terms & Conditions

4. Who we share data with

We share data only with trusted infrastructure providers (hosting, email delivery, payment processing) under data-processing agreements. We do not sell your data, ever. We do not share data with third-party advertisers.

We may disclose data when required by law or to enforce our legal rights.

5. Where we store data

Data is stored on EU-region servers with industry-standard encryption at rest and in transit. Encrypted backups run every 24 hours and are retained for 30 days.

6. How long we keep data

Demo and contact form submissions: 24 months from the last interaction, after which they are anonymised or deleted.
Customer operational data: for as long as the property remains an active customer, plus a reasonable post-termination grace period for export. After that, deletion follows the property's instructions and applicable law.
Server logs: 90 days.

7. Your rights

You have the right to:

Access — request a copy of the personal data we hold about you
Correction — ask us to correct inaccurate data
Deletion — ask us to delete your data, subject to legal retention requirements
Portability — request your data in a machine-readable format
Objection — object to specific processing activities

8. Cookies

We use minimal cookies — essential session cookies and anonymous analytics. We do not use third-party advertising trackers. You can disable cookies in your browser settings, though some site functions may not work as a result.

9. Marketing communications

If you submit a demo request, we may follow up by email or phone about Setapp. You can opt out at any time by replying to any email or contacting us directly.

10. Children

Setapp is not directed at children. We do not knowingly collect data from anyone under 16.

11. Changes to this policy

We will update this policy as our practices evolve. Material changes will be communicated by email at least 30 days before they take effect.
